International Travel and Study Abroad Updates

International Travel:  

  • Approved travel may be modified based upon CDC guidance or U.S. State Department advisories. 
  • All University guidelines must continue to be followed including Procedure 2008 International Travel. 
  • Planned international travel is not reimbursable by ÒùÐÔÊÓƵ if cancelled for any reason. We highly suggest students and employees purchase insurance or fully refundable tickets on their own behalf. 
  • Once a travel request is approved by Divisional Executive, the Director of the Office of Global Engagement (OGE) and Senior International Officer (SIO) for the University will work with relevant offices on approval and guidelines specific to international destination(s). This may also include  or U.S. State Department advisories in addition to the normal criteria used to approve international travel. 
  • All domestic travel procedures/policies listed above also apply to international travel.

  • Existing policies, procedures and processes regarding international travel and approval decisions based on  continue to apply.
  • The Office of Global Engagement’s webpage includes relevant information for approved travelers including the most recent off campus travel emergency guide. 
  • All approved international travelers are required to carry insurance through coordination with the Office of Global Engagement (OGE).  
  • If the University approves international travel for work-related purposes and a traveler is unable to reenter the country due to COVID-19 specific reasons, if they followed all University and local guidelines during travel, the University will bear expenses related to COVID-specific travel requirements or interruptions (e.g., testing, quarantines) consistent with Procedure 6412 until they are allowed reentry into the U.S. This also applies to students traveling on faculty-led programs (FLPs). 
  • All faculty, staff and students who are approved for international travel are required to comply with the COVID-19 health and safety protocols in effect during travel and at the international destination.  

Study Abroad: 

  • The Director of the Office of Global Engagement (OGE) and Senior International Officer (SIO) for the University, will, under the direction of the Office of the Provost, continue to work with students and relevant offices for guidelines specific to individual countries and/or programs for study abroad. 

Procedures

The Office of Global Engagement works in conjunction with the Office of Risk Management to verify all international travel, occurring under the auspices of ÒùÐÔÊÓƵ. Approval of international travel is granted by the Dean/Director, Provost, President, and the Travel Office.

Please self-identify and follow the outlined travel verification procedure below:

For international travel, you need to attach the following items to your Chrome River request for travel pre-approval: 

  • Obtain Dean/Director’s approval for international travel
  • Complete the Emergency Contact & Permission Form and attach it to your Chrome River request
  • Check the for your destination country
  • Submit a copy of Passport face page (optional, but highly recommended)
  • Itinerary - Airline information
  • Itinerary - Hotel information 
  • Any additional backup such as conference information, or other relevant materials
  • Final travel approval will occur one week prior to travel or the last day for a full refund based on the U.S. DOS Travel Advisory.
  • Obtain Dean/Director’s approval for international travel
  • Complete the Emergency Contact & Permission Form
  • Complete the Travel Waiver
  • Check the  for your destination country
  • Submit a copy of Passport face page (optional, but highly recommended)
  • Itinerary - Airline information
  • Itinerary - Hotel information 
  • Any additional backup such as conference information, or other relevant materials
  • Final travel approval will occur one week prior to travel or the last day for a full refund based on the U.S. DOS Travel Advisory.

  • Complete the Non-ÒùÐÔÊÓƵ travel waiver
  • Check the  for your destination country
  • Submit a copy of Passport face page (optional, but highly recommended)

  • Final travel approval will occur one week prior to travel or the last day for a full refund based on the U.S. DOS Travel Advisory.

Approval of International Travel: 

  1. Create a pre-approval in Chrome River – add transportation, hotel, meals, registration etc. refer to ÒùÐÔÊÓƵ's Travel website
  2. Upload all backup documents to the front page of your pre-approval, including the Emergency Contact & Permission Form, acknowledge of the  for your destination country
  3. Chrome will automatically assign a number to your pre-approval (use last 6 digits) for tracking purposes
  4. All approvals will be obtained, via email, from your Budget Unit Manager and Provost
  5. Once approvals have been completed, you will receive an approval email 
  6. The Request For Approval For Attendance At Events must be filled out for each event and forwarded to IDE (Office of Diversity and Equity) for approval
